To get your sales team to use the CRM, make it save them time before you ask for data: cut fields to the minimum, remove manual typing at the point of capture, let managers run every pipeline review from the CRM, train continuously and reward clean records. Reps adopt tools that help them sell, not tools that report on them.
This guide is published by PIXEL, which makes smart business cards and a lead-capture subscription (PIXEL Connect) that syncs with CRMs. We’ve kept the advice general: most of the steps below work with any CRM and any capture method.
Most sales managers in Riyadh, Jeddah or Dammam will recognise the pattern. The company buys HubSpot, Salesforce, Zoho or Dynamics, runs a launch training, and three months later half the pipeline still lives in WhatsApp chats, notebooks and personal phone contacts.
The usual reasons are not laziness:
When reps skip the CRM, the data in it gets thin and out of date, and decisions built on it get worse. In Validity’s State of CRM Data Management in 2025 report, 37% of organisations said they lose revenue as a direct result of poor data quality, and 76% said less than half of their CRM data is accurate and complete (Validity, via MarTech Cube, 11 July 2025).
That survey covered 602 CRM users and administrators in the US, UK and Australia, not Saudi Arabia, so treat it as a direction rather than a local benchmark. In our experience the practical costs are the same everywhere: managers can’t forecast, leads leave when a salesperson leaves, and two reps call the same prospect.
| # | Step | What it looks like in practice |
|---|---|---|
| 1 | Involve reps in the setup | Ask three or four reps which fields and stages they actually use, then build around that |
| 2 | Start lean | Only the fields needed to move a deal forward; add more later |
| 3 | Remove typing at the point of capture | Contacts and leads enter the CRM when they’re met, not at the end of the week |
| 4 | Run every meeting from the CRM | Pipeline reviews and one-to-ones use CRM screens only, not spreadsheets |
| 5 | Make it work on the phone | Reps in Saudi Arabia spend much of the day in meetings and on the road; the mobile app must be set up and tested |
| 6 | Train continuously | Short monthly sessions and a named CRM champion per team, not one launch training |
| 7 | Show reps what’s in it for them | Reminders, call lists and lead history that help them close, not only reports for managers |
| 8 | Reward clean records | Recognise reps with complete pipelines; make “if it’s not in the CRM, it didn’t happen” the team norm |
Steps 1, 2, 3, 6 and 8 follow the best practices Pipedrive recommends (Pipedrive). Steps 4, 5 and 7 are our recommendations from working with sales teams in Riyadh.
Ask your best and your newest reps to walk you through a normal week: where they meet people, what they write down and what they need before a follow-up call. The CRM should mirror that, in Arabic and English if your team works in both.
We recommend five to seven stages and a short list of required fields. A rep who sees twenty mandatory fields will postpone the entry, and postponed entries are the ones that never happen.
This is the step most companies skip, and in our view it matters most. The moment a rep has to retype a name, title, phone and email from a meeting or an exhibition stand, the entry is delayed. Options include:
Whichever you choose, test it on a real busy day, not in the training room.
If the weekly pipeline review runs from a spreadsheet, reps will keep the spreadsheet. When managers open the CRM in every review, the team follows. Pipedrive lists leading by example as one of its core adoption practices (Pipedrive).
Install and log in to the CRM app on every rep’s phone during onboarding, check notifications work, and show the three actions they’ll use most: add a contact, log a call, move a deal.
Replace the one-off launch with short monthly sessions. Pick a respected rep as CRM champion for each team to answer questions on the spot (Pipedrive).
Turn on follow-up reminders, show each rep their own pipeline value and win rate, and keep the full history of a client in one place so handovers are painless. This is the “what’s in it for me” that HubSpot calls the real fix (HubSpot).
Celebrate clean pipelines in team meetings. We’d avoid punishing missing data in the first months: it teaches reps to enter low-quality data just to comply.
A lean starting point for most B2B teams in Saudi Arabia (our recommendation):
| Field | Why it matters |
|---|---|
| Full name, title, company | Who the person is |
| Mobile (WhatsApp) and work email | How you’ll follow up |
| Where you met (event, referral, visit) | Source tracking |
| Owner (the rep) | Accountability and handovers |
| Next step and date | Drives the follow-up reminder |
| One-line note from the conversation | Makes the follow-up personal |
Everything else (industry, size, budget) can be added later or filled in automatically.
Yes, it’s worth considering. Saudi Arabia’s Personal Data Protection Law (PDPL) became fully enforceable on 14 September 2024 and is overseen by the Saudi Data and Artificial Intelligence Authority (SDAIA). It applies to entities that process personal data of individuals residing in Saudi Arabia (Clyde & Co, 10 September 2024).
A central CRM can make good data handling easier than contacts spread across personal phones: one place to control access, record where a contact came from and remove data when asked. This isn’t legal advice; check your obligations with a qualified adviser.
We recommend tracking a few simple measures monthly:
| Measure | What to look for |
|---|---|
| Active users per week | Every rep logs in, not only managers |
| New contacts per rep per week | Rises after events and busy weeks |
| Time from meeting to CRM entry | Same day is the goal |
| Deals with a next step and date | Most open deals should have one |
| Leads with a source recorded | Shows which events and channels work |
PIXEL helps with step 3: getting the contact into the CRM at the moment you meet someone, without typing.
What PIXEL doesn’t do: it won’t fix a cluttered pipeline, train your team or replace your CRM. It removes one of the most common reasons entries are late or missing.
A 50-person Riyadh company with 10 people in sales and business development: everyone gets a card, and the 10 lead collectors use Connect. Connect costs 10 × SAR 65 = SAR 650 per year (excl. 15% VAT), on top of the one-time card purchase (list prices excl. VAT: Original SAR 125 per card, Metal Edition SAR 235; team orders get volume rates on quotation). The other 40 employees use Instant Save, which is free.
Usually because it feels like extra work for management and doesn’t help them sell. Cutting fields, removing manual typing and giving reps useful reminders and history addresses most of it.
It depends on team size and how much changes. In our experience, expect a few months of steady habit-building, with monthly check-ins, rather than a single launch.
We recommend a clear rule (“if it’s not in the CRM, it didn’t happen”) once the CRM is lean and easy to use. Enforcing a clunky system first tends to produce poor-quality data.
Capturing them at the meeting itself: a mobile CRM app, a card scanner, or a two-way contact exchange that syncs to the CRM, such as PIXEL Connect.
It depends on your process, budget and language needs. Choose one with a good mobile app and Arabic support if your team needs it, and start lean.
No. Only the people who collect leads need Connect. Everyone else uses the free Instant Save mode.
Yes. PIXEL Connect leads can sync to HubSpot (as contacts), Salesforce (as leads), Microsoft Dynamics 365, or any CRM through a webhook.
Reps use a CRM that saves them time and helps them close. Make it lean, take the typing out of capture, run every meeting from it, keep training and reward good habits. Do that, and “update the CRM” stops being a Friday chore.
